Privacy Notice

Last updated: [16th August 2025]

The Short Version

I need some of your information to run classes safely and keep you informed. I'll never sell your data, spam you, or do anything dodgy with it. This page explains exactly what I collect and why.

Data Controller: Vivien Row - viv@theyogaden.co.uk

What Information I Collect and Why

Health Forms

Before you join a class, you'll fill in a health form asking about medical conditions, injuries, and general wellbeing. I need this to:

  • Make sure yoga is safe for you

  • Adapt poses if you need modifications

  • Know if there's anything I should be aware of in class

This health information is sensitive data under GDPR, so it's kept extra secure with two-step verification. Only I have access to it, and I'd only share it if legally required to (which has never happened and likely never will).

Contact Details

If you book classes or sign up for updates, I'll have your:

  • Name

  • Email address

  • Phone number (if you provide it)

I use these to let you know about class changes, send workshop updates (only if you've asked for them), and occasionally check you're okay if you've disappeared and I'm worried about you.

Third-Party Services I Use

Booking System (BookWhen)

To book classes, you'll use BookWhen. They'll receive your name, email, and phone number to process your booking. Read their privacy policy

Payment Processing (Stripe)

When you pay online, Stripe handles the transaction. They receive your name, email, payment details, and postcode (for fraud prevention). I never see or store your card details. Read their privacy policy

When I'll Contact You

I'll only email or text you when:

  • You've asked to receive workshop updates or newsletters

  • A class is cancelled or times change (essential info only)

  • You've asked me a question and I'm responding

  • Very occasionally, if you've been absent and I want to check you're alright

You can unsubscribe from non-essential emails anytime - just email me or click unsubscribe on any newsletter.

How Long I Keep Your Information

Health forms: 7 years (my insurance company requires this - apparently it's standard practice)

Contact details: Until you tell me you don't want to hear from me anymore, then they're deleted

Booking history: As long as you're an active student, plus a reasonable period after in case you come back

Your Rights

Under GDPR, you have the right to:

  • See what information I hold about you (just email me)

  • Correct any mistakes in your information

  • Ask me to delete your data (except health forms within the 7-year period)

  • Complain to the ICO if you're unhappy with how I handle your data (though I'd rather you talked to me first so I can fix it)

Questions?

If anything here doesn't make sense or you want to know more about how I handle your data, just email me at viv@theyogaden.co.uk. I'm a real person who answers my own emails, not a corporate legal department.

I take your privacy seriously because I wouldn't want my data misused either. The bottom line: your information is safe with me and only used to provide you with yoga classes and keep you informed about The Yoga Den.

Note: This privacy notice is designed to be GDPR compliant while being actually readable. If regulations change, I'll update this and let you know.
